My client is a leading built environment contractor who are looking for a skilled PA to the MD of their Facilities Management division, the role is based in the LE10 area however due to lack of public transport to the area you will need to have your own transport.
This role will start on Monday 6th of November - with interviews taking place on Thursday morning or Friday afternoon, the role is full time 8.30am to 5.00pm, hourly rate will be circa £15/£16phr.
You will provide full secretarial/PA and clerical support to the Managing Director of FM.
To provide high quality personal, administrative and project management support.
Day-to-day management of meetings, reporting and general project work.
Key Responsibilities:
Proactive management of diary with an ability to flex diary quickly to balance competing priorities and daily demands.
Provide full administrative support to the Managing Director; filtering, prioritising, re-routing and responding to queries in a timely and professional manner both verbally and in writing.
Manage the provision of confidential and sensitive information to and from key stakeholders.
To arrange meetings and make travel arrangements, drawing up itineraries, arranging accommodation.
Prioritise, draft and develop correspondence and documentations including, agendas, presentations, minutes.
Demonstrate effective communications and relationships with internal and external contacts, ensuring that messages contribute positively to the Business Unit's reputation and creditability and that messages are accurate, coherent and in line with policy.
To organise internal and external meetings, teleconferences and video conferences, ensuring facilities meet requirements.
Complete expenses for the Managing Director and the wider senior leadership, ensuring these are maintained and actioned timely.
Project Management of all key tasks and activities within the Facilities Management team, undertake research and assignments where required.
To complete reports, presentations as required.
To ensure departmental deadlines are met for key corporate activities.
Awareness of key stakeholders and prioritisation of meeting, setting up meetings/agendas for coming months with all key stakeholders and team.
To coordinate the storage and efficient retrieval of information relating to FM and the Managing Director.
Collation and input into monthly briefings and Board - ensure delivery on time Diary management, travel and admin support as needed.
Awareness of movement of the senior leadership team of FM.
Ensuring office supplies are monitored and stock order when required.
Track and complete action's associated with invoicing and raising PO's.
To contribute as a team member in the continual review of efficiencies within the department.
Experience and Qualifications:
A proven self-starter, with a pro-active approach Evidence and success of dealing prioritising high level sensitive information and enquiries.
Numerate and analytical - comfortable with interpreting data and extracting key messages.Results driven and output focused - able to deliver with a high level of quality and accuracy within deadlines.
Committed and resilient.
Highly organised and ability to multi-task and work at a fast pace.
Ability to operate with confidence and credibility at all levels.Experience of working in a pressurised environment, managing conflicting demands.
Excellent organisational skills with an ability to prioritise and plan ahead.
Excellent writing and proof reading skills, be completely fluent to a high level in the English language, ability to draft reports in a suitable style
Extensive knowledge of Microsoft packages including PowerPoint, Excel, Word and Outlook with the ability to create spreadsheets and PowerPoint's to an advanced level.
Evidence of successful management of complex diary and travel arrangements at a senior level.
