We are currently recruiting for a Facilities/Commissionaire Supervisor to be based in Glasgow
Working hours:
Job Purpose:
To provide a professional and dedicated reception service to 1 West Regent Street and to take ownership of site services via operational aspect of the role.
Principle Accountabilities
Front of House, Meet and Greet to the clients expectation and standards
Act in conjunction with the facilities coordinators ensuring that all procedures appertaining to access control are correctly followed.
Ensure telephone is answered within 4 rings and that callers are dealt with in a professional, helpful manner.
Carry out general reception duties ensuring that a high standard of customer care is adopted at all times.
Receive deliveries and mail and log on the computer system.
Act as Help Desk on behalf of customer and pass on all requests to relevant department.
Maintain computerised maintenance system on behalf of site raising, closing and filing electronic work requests as required.
Order and maintain stationery stores on behalf of the client.
Book meeting rooms, taxis and couriers as directed.
Maintain Vendor Contractor files
Maintain training files
Maintain staff holiday files
Assist Site Services Manager with administrative matters.
To be dressed in correct uniform at all times.
Maintain all reception logs for taxis, couriers, dvds etc.
Scrutinise all support documentation for correct compliance with site H & S rules.
Input data onto computer system in the prescribed fields.
Ensure high level of input accuracy to rigidly maintain data integrity.
Draw regular and customised data reports from the system.
Ensure up-to-date training on the system applications by attending training courses or by self-taught modules.
Attend to all related queries from internal as well as external clients within the laid-down timelines either by phone or in writing and ensure high level of customer satisfaction.
Assist with building inspections as requested and fire alarm evacuations and MIMP training as required and approved in site specification.
Partake in weekly fire alarm testing if required
Assist with general office duties such as, stationary stock control, refreshment orders, preparation of ad hoc reports, maintaining the filing and archive systems, scanning of critical back-up documentation, checking and dispatching of bulk invoices etc.
Compile spreadsheets in Word or Excel format for any non-standard reporting
Contribute to the effective working of the Operations team by:
Identifying with and participating in the attainment of team objectives and priorities.
Communicating and sharing knowledge with other team members.
Developing personal skills to meet both individual and team needs.
Take the initiative to ensure that work processes, procedures and systems are effective and efficient while ensuring practices are aligned to established corporate standards of professionalism and accuracy.
Maintain focus on excellent customer service delivery standards
Maintain a high level of knowledge of all products and services on offer by the company.
Work towards the continuous improvement of EMCORs (including Workplace Health & Safety, Quality Assurance and Environment), existing standards, values and culture
